Cultural Tour Consultants

TRIP CANCELLATION AND MEDICAL INSURANCE:  Tour package prices include post departure insurance to cover baggage and medical expense and/or repatriation should traveler fall ill or be injured during the tour.  The included insurance does not cover reimbursement of cancellation penalties charged by Cultural Tour Consultants, unless clearly stated in the tour contract.  Travelers are strongly encouraged to purchase trip cancellation insurance to cover non-refundable deposits.  Individuals may contact Cultural Tour Consultants for links to purchase cancellation insurance through TravelEx.  All claims and questions must be submitted directly to TravelEx.  Traveler may also purchase trip cancellation insurance from the insurance underwriter of their choice.

AIR TRANSPORTATION AND FLIGHT DEVIATIONS: Round trip economy class air transportation from origin to tour destination is included in tour package price – unless a Land Only Package is purchased (see below).  Airline taxes and fuel surcharges cannot be confirmed until ticketing.  Check the inclusions page of your tour for the amount of taxes and fuel surcharges included in your tour cost.  Any increase in these fees will be billed before departure.

Return date deviations on group booking to extend stay abroad will incur a per person administrative fee charged by Cultural Tour Consultants in the amount of $75.00, in addition to fees charged by the airline. Airlines may impose a maximum number of deviations allowed per group booking. Requests will be handled on a first come first served basis.  Deviations are allowed only on the return flight and the traveler must return from the same city from which the group returns.  All deviation requests must be made in writing to CTC and are based on space availability at the time of request.  Deviations are not guaranteed until receipt of confirmation from the airline.

AIRLINE SEAT REQUESTS: Airline seat preferences (i.e. aisle or window seat) cannot be guaranteed. Generally the airline assigns a block of seats to a group, and individual seat assignments within that block are not made until airport check-in.

LAND ONLY PACKAGE: Tour enrollees who purchase a Land Only tour package are responsible for all air transportation arrangements.  Tickets purchased by individuals are their responsibility and will not be refunded, reissued or otherwise compensated by Cultural Tour Consultants if changes are made to the group travel plans or for any other reason.  Land Only Package participants must advise Cultural Tour Consultants that they will not be using the group air space a minimum of 90 days prior to departure and provide the individual flight itineraries at least 30 days prior to departure.

Tour enrollees who purchase a Land Only package must arrange to meet the group per the finalized tour itinerary.  Cultural Tour Consultants will not be responsible for any expenses – transportation or other – incurred by Land Only participants to meet the group.

GROUND TRANSPORTATION: Private, deluxe motor coach with panoramic windows, air-conditioning and public address system as required to accomplish the airport/hotel transfers and day excursions are included. Driver must adhere to applicable time and mileage limits according to local laws.

ACCOMMODATIONS: Hotel accommodations per itinerary are included. All rooms have private bathroom facilities.

MEALS: Buffet breakfast are included daily. Included lunches and dinners as specified in tour itinerary and tour inclusions sheet.  All other meals are at the individual traveler’s expense.

ENTRANCES: Group reservation fees (when applicable) and entrance fees (when applicable) for sightseeing activities to scheduled sites included, as per tour itinerary and tour inclusions sheet.

TOUR MANAGER: Services of an experienced multi-lingual tour escort/manager throughout the tour included.

GRATUITIES AND TAXES: Tour prices GENERALLY do not include tips for motor coach drivers, guides, or tour manager.  Travelers are instructed to check the tour inclusions sheet to learn if tips are included in tour price. Gratuities to coach drivers, guides and tour escorts are standard practice and should be paid directly on site during the tour. Tips and taxes in connection with included hotel accommodations and meals are included in tour price.

BAGGAGE: Travelers are limited to one checked piece and one carry-on piece of luggge. Size and weight of these pieces must comply with airline regulations.  Baggage size and weight limitations of group booking airline will be communicated prior to departure.

Tour price includes one piece of checked luggage per person.  Any charges assessed by the airline for additional baggage, oversized or overweight baggage or musical instruments are the responsibility of the individual traveler or traveling organization.

PAYMENTS DUE TO CULTURAL TOUR CONSULTANTS: Travelers are instructed to refer to Payment Schedule on My Tour page or with local tour organizer (if applicable) to confirm payment amounts and due dates.

EXCLUSIONS: Expenses of passports or visas, trip cancellation insurance (unless noted), personal expenses such as laundry or telephone charges, excess baggage charges, gratuities to tour guides, escort/manager and coach drivers (unless noted), transportation charges resulting from deviation from the printed itinerary, and anything not mentioned as being included.  Check your tour inclusions for exceptions.

PASSPORT: For foreign travel, travelers must be in possession of a valid passport with an expiration date that falls at least six months after tour’s scheduled return date. If the expiration date is less than six months after return, the traveler is required to renew passport before departure.  Travelers are strongly encouraged to apply for passport or renewal at time of tour enrollment.

 VISAS: U.S. Citizens do not need a visa for a stay of less than 90 days to most of Europe, Canada and South Africa. Visas for entry into Turkey are obtained at the gateway airport in Turkey upon arrival.  Non-U.S. citizens must contact the Consulate General or Embassy of the countries to be visited, to learn if a visa is required for entry. Visa applications can be obtained from the Consulate General or Embassy of destination country. Cultural Tour Consultants can assist by providing a letter confirming the individual’s participation in the tour, etc., if requested. However, Cultural Tour Consultants is not responsible for obtaining the visa for non-U.S. citizens.

TOUR OPERATOR RESPONSIBILITY: Cultural Tour Consultants is acting as an intermediary and agent for suppliers (“principles identified on the attached or accompanying itinerary or documents”) in selling services which are not directly supplied by Cultural Tour Consultants, such as air carriage, hotel accommodations, ground transportation, meals, tours, cruises, etc. Cultural Tour Consultants expressly disclaims responsibility for the acts or omissions of suppliers which result in loss, damage, delay or injury to travelers contracting through Cultural Tour Consultants for the services of such suppliers.

Cultural Tour Consultants will not be responsible for any injuries, damages or losses caused to any traveler in connection with terrorist activities, social or labor unrest, mechanical or construction difficulties, disease, local laws, climatic conditions, abnormal conditions or developments, or any other actions, omissions, or conditions outside the control of Cultural Tour Consultants whether expected or unexpected. Individual travelers are hereby warned of such risks, and are advised to purchase appropriate insurance coverage if available. Retention of tickets, reservations, or bookings after issuance by an individual or group member shall constitute consent of the above. In the event that it becomes necessary or advisable for any reason whatsoever to alter the arrangements, Cultural Tour Consultants may make such alterations, after prior consultation with, and with the consent of, individual travelers or group tour organizer. All rates are based on tariffs, airfare, airport security taxes, fuel surcharge, and currency exchange rates in effect at the time of contract. Any change in tariffs, airfare, airport security taxes, fuel surcharge, and currency exchange rate could result in an increase in the tour price.
